How to migrate your support data from Intercom to Deskwoot

Switching to Deskwoot doesn't mean starting from scratch. You can migrate your complete Intercom workspace — conversations, contacts, help-center articles, and more — using a single access token. The process typically takes just a few minutes to kick off, and Deskwoot handles the rest in the background.

What gets imported

  • Conversations with full message history (text, files, audio, carousels, forms)
  • Contacts (users and leads) with email, phone, avatar, location, company, and custom attributes
  • Teams from Intercom teams
  • Tags become Labels
  • Custom Attributes (data attributes) for contacts
  • Saved Replies become Canned Responses
  • Help Center collections, sections, and articles
  • Contact Segments
  • CSAT Ratings

What is NOT imported

  • Product tours, series, and outbound campaigns
  • Custom bots and AI agent configurations
  • Billing and subscription data
  • Third-party app integrations

Getting your Access Token

  1. Open the Intercom Developer Hub.
  2. Create a new app or select an existing one.
  3. Navigate to Authentication.
  4. Copy the Access Token.
  5. Ensure the app has read permissions for conversations, contacts, tags, and articles.

How to import

  1. In Deskwoot, go to Settings > Import / Migration.
  2. Select Intercom as the source.
  3. Paste your Intercom Access Token.
  4. Click Start Import.

Deskwoot will begin fetching your data. Large workspaces may take longer; you can safely close the page and check back later.

After the import

  • Rich message types (carousels, forms, pickers) are converted to readable text so no context is lost.
  • All imported conversations are assigned to your default email inbox.
  • Agents are matched to existing Deskwoot users by email address. Unmatched agents appear as the conversation creator.

Tips & best practices

  • Run the import before going live. This gives you time to review data, set up automation rules, and train your team on the new interface.
  • Verify labels and canned responses after the import to ensure naming conventions match your Deskwoot workflow.
  • Reassign conversations to the appropriate inboxes or teams once the migration is complete, since everything initially lands in the default email inbox.

Troubleshooting

Import fails immediately

Double-check that your access token is valid and has the required read permissions. Expired or restricted tokens are the most common cause of failed imports.

Missing conversations or contacts

Ensure the token's permissions cover all data types you need — conversations, contacts, tags, and articles. If certain scopes are missing, only partial data will be imported.

Duplicate contacts

Deskwoot matches contacts by email address. If duplicates appear, merge them manually from the contact profile page after the import.

Frequently asked questions

Can I run the import more than once?
Yes, but re-running the import may create duplicate records. It's best to complete one clean import and then make adjustments inside Deskwoot.

Will the import affect my live Intercom workspace?
No. The process is read-only — it copies data into Deskwoot without modifying or deleting anything in your original workspace.

How long does the migration take?
It depends on the volume of conversations and contacts. Small workspaces finish in minutes; larger ones with tens of thousands of records may take up to a few hours.
