Your Freshdesk bill keeps growing and you can't predict it. Freddy AI costs $0.49 a session after the free 500, and live chat or WhatsApp means paying for Freshdesk Omni or the separate Freshchat.

Below are 9 Freshdesk alternatives for teams of 5 to 30 agents, with real monthly bills and AI pricing. Deskwoot is ours, so it comes first, downsides included. It brings your whole Freshdesk history over for free.

Monthly bill: 10 agents on annual billing with AI in 1,000 conversations a month, worked out in the cost section below. Channels: those this post names for that plan. Prices come from each vendor's own pricing page, in US dollars, checked on October 28, 2026.

Why teams of 5 to 30 agents leave Freshdesk

Live chat and WhatsApp mean Freshdesk Omni or Freshchat

Freshdesk's own plans are built for email: Growth $19, Pro $55, Enterprise $89 per agent a month on annual billing, according to its pricing page (checked October 28, 2026).

WhatsApp is not part of them. Freshdesk's getting started article for Omni says Freshdesk itself only has a basic web chat widget (accounts from before December 2025 keep their old WhatsApp integration).

For live chat and WhatsApp you have two options:

  • move to Freshdesk Omni: $29, $79 or $119 per agent
  • add Freshchat, a separate Freshworks product

For a team of 10, going from Pro to Omni Pro costs $240 more a month. Same people, same work.

Freddy AI is billed per session after a one time free allowance

Every Freshdesk and Omni plan includes 500 Freddy AI Agent sessions, once per account. After that, sessions cost $49 per 100, so $0.49 each.

An email session is a 72 hour window from the customer's first email, and on Omni a chat session covers 24 hours. Nothing on the page ties a session to a resolution.

If Freddy touches 1,000 conversations a month, that is about $490 on top of seats once the free 500 are used. Freddy AI Copilot, the helper for agents, adds $29 per agent on Pro and Enterprise.

Phone is a separate product

The same Omni article lists phone as a Freshcaller integration. On the Omni pricing page, voice is an add-on per agent:

  • Growth: $15
  • Pro: $39
  • Enterprise: $69

A team of 10 on Omni Pro with voice pays $1,180 a month for seats before any AI.

What reviewers complain about

Freshdesk's Trustpilot page showed 1.5 out of 5 from 412 reviews when we looked. The page also notes that Freshdesk hasn't invited customers to review it lately, so the reviews may not be representative.

The recent 1 star reviews cluster around money and support:

  • A reviewer in Australia who loves the product names "the escalating cost" as the problem (October 13, 2026).
  • A team in Singapore says it now needs 4 seats and is still charged for 19 under a 2 year commitment (August 11, 2026).
  • A reviewer in Belgium writes about Freshworks' own support: "Extremely bad support if you have an issue. Days of ping pong." (June 5, 2026).
  • A customer in Japan was told to upgrade, hit an error on the upgrade link and got nowhere with the chatbot (September 16, 2026).

None of the 4 complains about the ticketing itself.

Where daily work gets stuck

A 30 person support team that moved to Deskwoot told us about the pains above: chat in Freshchat next to tickets in Freshdesk, which meant a bloated and expensive setup, and weak vendor support. They also named 4 that cost them time every day:

  • When a chat became a ticket, the agent's internal notes stayed behind, so the next team could not see what was already tried.
  • Once a ticket moved to another team, nobody could tell who had it now.
  • Each customer had its own Telegram group, and those groups had no home in Freshdesk, so the team built a tool of its own.
  • Handing a billing or developer issue to another team while the customer kept chatting took workarounds, and so did getting the Jira status back.

How we picked the 9 tools

We kept hosted help desks that:

  • publish their prices
  • sell to teams of 5 to 30
  • put email and live chat in one inbox
  • have an AI agent

We left out contact center suites such as Salesforce, ServiceNow and Genesys. Other lists include them, but a team of 15 rarely needs one.

For each tool we opened the pricing page on October 28, 2026 and noted the unit its AI is billed in. After our own product, the order follows how many Freshdesk teams each tool fits, broadest first.

Switch from Freshdesk in one click

Paste your Freshdesk address and an admin API key, click Start Import, and Deskwoot brings everything over in the background. Your team keeps working in Freshdesk until switch day.

What comes over:

  • every ticket, archived ones too, with all replies, private notes and attachments
  • status, priority, tags, team and assignee
  • contacts and companies
  • groups as teams, canned responses and ticket fields
  • your knowledge base
  • satisfaction ratings

On switch day, click once more and only what is new comes over. The import is free on every plan, even the free Hacker plan, and changes nothing in your Freshdesk. The Freshdesk import guide has the steps.

The 9 best Freshdesk alternatives

Deskwoot: 11 channels, AI per conversation

Deskwoot is ours. It fits teams of 5 to 25 that want every channel and AI in one inbox on a small bill, with data in the EU on every plan and a GDPR DPA you sign yourself.

Pick something else if you need Messenger or Instagram, a large app marketplace or servers of your own, since we only run as a hosted service.

On Business, email, live chat, WhatsApp, Telegram, LINE, SMS, X DMs, Microsoft Teams, Discord and calls from a 3CX phone system arrive in one inbox.

The 6 pains from that team, and what Deskwoot does about each:

  • Two products: these channels share one inbox, and tickets (Enterprise) live in the same product, on one bill.
  • Weak vendor support: when we are not in chat, we reply within 24 hours, the founder reads every escalation, and we build almost every feature request at no extra charge when it helps all customers.
  • What was already tried: on Enterprise a new ticket gets an internal summary of what was tried and what is still open, and Copilot can draft it.
  • Who has the ticket: on Enterprise a card in the chat shows the team and person on the ticket, like Billing › Ben. Only the holder replies, and a colleague takes it over first.
  • Telegram groups: add your bot to each customer's group as an admin, and every message lands in that group's conversation in the inbox, with the member's name.
  • Handoffs and Jira: on Enterprise a chat becomes a ticket for billing or your developers while the customer keeps getting answers in the same chat. Raise a Jira issue from the ticket: its status shows there, and a rule template hands the ticket back to you when the issue is Done.

For a team of 10, seats cost $64 a month and 1,000 AI conversations add $45, so the bill is $109. At 25 agents it is $205, worked out like the cost table below.

Our pricing page lists these prices per agent a month on annual billing (monthly in brackets):

  • Hacker: free for 1 agent
  • Startup: $3.20 ($4)
  • Business: $6.40 ($8)
  • Enterprise: $9.60 ($12), which adds a REST API channel

Copilot is on every plan, and Fynn, the AI agent, from Startup.

An AI conversation counts once a month as soon as Fynn or Copilot helps with it or a voice message in it is transcribed. Plans include 10, 50, 100 or 300.

Extra AI conversations come from a prepaid balance:

  • Startup: $0.07
  • Business: $0.05
  • Enterprise: $0.03

On the free plan you upgrade instead. A handoff costs the same as a full answer, so the bill follows your volume (the AI billing article has the details).

Every number here is public, so you can check it before you pay anything. Your Freshdesk history comes over with the one click import above, and imported conversations never count toward your monthly limit.

The downsides, plainly:

  • SLA policies, tickets and trackers, the REST API, audit logs and custom roles need Enterprise.
  • Startup stops at 1,000 conversations a month, so a busy team needs Business.
  • Facebook Messenger, Instagram and TikTok DMs are not live.
  • Phone needs 3CX version 20 with the PRO or AI edition, and Fynn never answers calls. Recordings and transcripts stay off until you confirm your callers are told.
  • Fynn does not answer in conversations you imported.
  • Visible history is 1 year on Business and all of it only on Enterprise, so older imported tickets stay hidden until you upgrade.
  • 20 integrations, among them Shopify, WooCommerce, Stripe, Zapier, n8n, webhooks, Slack, Jira, Linear, WordPress and Ship24, a short list next to Zendesk's Marketplace.
  • We are newer and smaller than every other vendor here.

You cancel in Settings, Billing with no notice period.

The switch page promises your money back if you are not answering faster within 30 days, under the conditions in our Terms.

The next step is one test on your own data: start the 7 day trial (Enterprise, no card, up to 30 seats), run the Freshdesk import once and compare the full bill on our Freshdesk comparison page.

When the trial ends, you pick a paid plan or keep working on the free Hacker plan.

Zendesk

Zendesk is the most direct swap for a team on Freshdesk Pro: the same ticket model, routing, SLAs, a knowledge base and more than 1,000 apps in its Marketplace.

Zendesk's pricing page (checked October 28, 2026) lists these plans per agent a month on annual billing, monthly billing in brackets:

  • Support Team: $19 ($25), email and ticketing only
  • Suite Team: $55 ($69), adds AI agents, messaging and live chat, and telephony
  • Suite Professional: $115 ($149)

AI is billed per automated resolution: a request the AI agent closes without a human. Suite Team includes 5 a month per agent and Suite Professional 10.

More cost $1.50 each if you commit to a volume, or $2.00 pay as you go. Copilot is another $50 per agent, from Professional up.

Where it falls short: $1.50 is the highest price per AI result on this list. EU hosting through the Data Center Location add-on is free from Suite Professional, but only once you ask Zendesk to switch it on, according to its help article on the add-on.

Zoho Desk

Zoho Desk has some of the lowest seat prices of the big names here, and it makes the most sense if your company already runs other Zoho apps.

Zoho Desk's pricing page (checked October 28, 2026) shows your local currency first. Switched to USD, it lists these plans per agent a month on annual billing, monthly billing in brackets:

  • Express: $7 ($9)
  • Standard: $14 ($20)
  • Professional: $23 ($35)
  • Enterprise: $40 ($50)

The free plan has 3 users. Live chat and WhatsApp start at Standard, telephony and Zia, Zoho's AI, at Professional.

AI agents come from Express up and run on Zoho's own model with up to 30M free tokens a month, or on your own OpenAI key.

The page lists no price per conversation and doesn't say what tokens cost past the free allowance, so the AI bill is small but hard to forecast.

Where it falls short: a team that takes phone calls is on Professional at $23.

Help Scout

Help Scout suits teams that work mostly in email and want a calm shared inbox with an AI price you can read in one line.

Help Scout's pricing page (checked October 28, 2026) lists:

  • a free plan for 5 users, 1 inbox and 100 contacts a month
  • Standard: $25 per user for up to 25 users
  • Plus: $45 for up to 50
  • Pro: $75 with a minimum of 10 users, sold through a demo

Standard already includes live chat, SMS, WhatsApp, Instagram and Messenger.

AI Answers, sold as the Envoy add-on, costs $0.75 per resolution, at most one per conversation, and nothing when the customer escalates.

New accounts get 3 months of unlimited AI resolutions free, and you can set a monthly spending cap.

Where it falls short: Standard stops at 25 users, and phone works only through integrations. Help Scout's security page says it is hosted on AWS in the United States.

Front

Front fits B2B teams where support, account managers and sales all work the same client email threads.

Front's pricing page (checked October 28, 2026) lists these plans per seat a month on annual billing, monthly billing in brackets:

  • Starter: $25 ($35), up to 10 seats and one channel type
  • Professional: $65 ($85), up to 50 seats across email, SMS, social, WhatsApp and more
  • Enterprise: $105, annual only

The native WhatsApp channel costs Meta's fees plus a 20% admin fee.

Autopilot, the AI agent, charges once per conversation at the highest outcome it reaches:

  • $0.05 for triage
  • $0.39 for a handoff with context or a draft
  • $0.89 for a full resolution

Copilot is $20 per seat, included in Enterprise.

Where it falls short: the seat caps. Your 11th agent pushes you off Starter and your 51st off Professional. Phone runs through integrations such as Aircall and Dialpad.

Intercom

Intercom suits software companies where most support starts in the chat inside their product, and teams that want an AI agent to take the first answer.

Intercom's pricing page (checked October 28, 2026) lists these plans per seat:

  • Essential: $19 for new customers (list price $29)
  • Advanced: $85, which adds the workflow builder, multiple team inboxes, round robin assignment and 20 free Lite seats
  • Expert: $132

Fin costs $0.99 per outcome, at most once per conversation, and nothing if Fin can't answer or the customer asks for a human.

Copilot is $29 per agent after 10 free Copilot conversations per agent a month. WhatsApp and SMS are billed per message.

If you would rather keep Freshdesk, Fin's own pricing page says Fin also runs on top of it, at $0.99 per outcome with a minimum of 50 outcomes a month.

Where it falls short: round robin assignment or a second team inbox means Advanced at $85 a seat. EU hosting is only for new workspaces on Advanced or Expert, on a contract, according to Intercom's help article on regional data hosting.

HubSpot Service Hub

HubSpot fits companies whose sales and marketing already live there, so support works in the same CRM as everyone else.

The Service Hub pricing page (checked October 28, 2026) lists:

  • a free plan for up to 2 users
  • Starter: "starts at" $7 or $20 per seat, depending on how you commit and pay
  • Professional: $90 to $100 per seat, plus a one time onboarding fee of $1,500
  • Enterprise: $150 per seat, plus a one time onboarding fee of $3,500

Customer Agent, HubSpot's AI agent, needs Professional or Enterprise, according to HubSpot's knowledge base. HubSpot's credits page says it spends 50 credits per resolution on messaging, at $0.01 a credit, so $0.50.

Professional includes 3,000 credits a month and Enterprise 5,000, and unused credits expire. A Professional or Enterprise seat comes with 14 days of Customer Agent free.

Where it falls short: on Professional at $90, 10 agents pay $12,300 in the first year with onboarding, before any AI.

HappyFox

HappyFox is the pick if you would rather pay a flat price for a larger team.

The HappyFox Help Desk pricing page (checked October 28, 2026) lists these plans per agent a month on annual billing, monthly billing in brackets:

  • Basic: $24 ($29), for at most 5 agents
  • Team: $49 ($69)
  • Pro: $99 ($119)
  • Enterprise Pro: on request

Unlimited agent plans charge a flat yearly fee with a ticket allowance, which HappyFox says usually works out cheaper above about 20 to 25 agents. Team adds an optional EU data center.

HappyFox AI costs $14, $29 or $39 per agent with set allowances, and Autopilot AI agents start at 2 cents per successful action, according to its AI pricing page.

The Chatbot shows $0.33 per resolution on the overview page, with the final price set in each order form.

Where it falls short: a team of 10 can't use Basic, so the real entry price is $49 a seat. The pricing page lists live chat (HappyFox Messaging) and AI as separate products with their own prices, so both are extra lines on the invoice.

Gorgias

Gorgias is built for online stores on Shopify, WooCommerce, BigCommerce and Magento, where most tickets are about an order.

The Gorgias pricing page (checked October 28, 2026) bills by tickets, never by agent. On annual billing, monthly in brackets:

  • Basic: $50 a month ($60) for 300 tickets with 500 user seats
  • Pro: $300 ($360) for 2,000 tickets
  • Advanced: $750 ($900) for 5,000 tickets

AI Agent is a monthly add-on on every plan: on annual billing $27 on Basic, $171 on Pro and $477 on Advanced, with 30, 190 or 530 automated interactions included.

Each one beyond that costs $0.90 on Basic and Pro and $0.85 on Advanced ($1.00 on Starter).

Where it falls short: outside ecommerce the order tools sit idle, and a bill that follows ticket volume jumps in your busiest months. We worked through the numbers for a small store in our Gorgias alternatives post.

What a team of 10 and of 25 pays each month (seats plus 1,000 AI conversations)

The setup: 10 agents handle 2,000 conversations a month, and 25 agents handle 5,000. The AI answers first in 1,000 conversations, settles 500 on its own and hands 500 to a person.

We took annual billing and, for each tool, the cheapest plan with email, live chat and an AI agent that has room for the team. Copilot add-ons, WhatsApp and SMS fees, phone and taxes are left out.

For Freshdesk we show Pro, which its pricing page marks as most popular, and Omni Growth, its cheapest plan with live chat, with the free 500 sessions already used.

Tool and planSeats, 10 agentsAI, 10 agentsTotal, 10 agentsTotal, 25 agents
Freshdesk Pro (email AI)$550$490$1,040$1,865
Freshdesk Omni Growth (chat)$290$490$780$1,215
Zendesk Suite Team$550$675$1,225$1,937.50
Zoho Desk Standard$140No price listed (1)$140$350
Help Scout Standard$250$375$625$1,000
Front Professional$650$640$1,290$2,265
Intercom Essential (new customer price)$190$495$685$970
HubSpot Service Hub Professional (2)$900$220$1,120$2,470
HappyFox Team$490$165 (3)$655$1,390
Deskwoot Business (ours)$64$45$109$205

(1) Zoho's AI agents run on up to 30M free tokens a month, and the page shows no price per conversation. (2) The lower of its 2 prices, plus a one time onboarding fee of $1,500.

(3) HappyFox's Chatbot at its listed $0.33 per resolution; the final price is set per customer. Its live chat, HappyFox Messaging, is a separate product with no public price, so the HappyFox row leaves it out.

Gorgias is missing because it bills by tickets: at 2,000 tickets a month that is Pro at $300, at 5,000 Advanced at $750. The AI Agent add-on comes on top ($171 or $477 a month with 190 or 530 automated interactions, then $0.90 or $0.85 each).

How the AI column adds up

  • Freshdesk: 1,000 sessions, 10 packs at $49.
  • Zendesk: $1.50 for each resolution beyond 5 per agent, so 450 at 10 agents and 375 at 25.
  • Help Scout: 500 resolutions at $0.75.
  • Front: 500 resolutions at $0.89 and 500 handoffs at $0.39.
  • Intercom: 500 outcomes at $0.99. We count handoffs as free, which holds when Fin can't answer or the customer asks for a person (a handoff that ends a Fin Procedure does count).
  • HubSpot: 25,000 credits, 3,000 of them included.
  • Deskwoot: all 1,000 conversations the AI touched; 100 are included on Business and 900 cost $0.05. If your agents also use Copilot in the other 1,000 conversations, each of those counts too, at the same $0.05.

What the totals tell you

In several rows the AI line costs as much as the seats, so check the AI unit before the seat price.

Leaving our own row aside, Zoho Desk is cheapest on paper if the token allowance covers your AI. At 10 agents Help Scout, HappyFox and Intercom Essential follow between $625 and $685.

At 25 agents Intercom Essential ($970) comes in just under Help Scout ($1,000).

On Deskwoot, a team of 25 that needs SLA policies and tickets goes to Enterprise: $240 for seats plus 700 extra AI conversations at $0.03, so $261.

We run the same math against Freshdesk, Zendesk and Intercom on our comparison pages.

Per resolution or per conversation

Pricing per resolution means you only pay when the AI wins. But the bill grows as the AI gets better, and the vendor's definition of a resolution decides what you pay.

Pricing per session or conversation is easy to forecast, and you also pay for the conversations the AI handed over.

The helper for your agents often costs extra

Most vendors bill the AI helper for agents apart from the seat:

  • Freshdesk and Intercom: $29 per agent
  • Zendesk: $50
  • Front: $20 below Enterprise

Help Scout includes AI Assist on its paid plans.

Want to host it yourself?

If you are leaving Freshdesk because you want the data on your own servers, this list won't help much, because we only looked at hosted plans.

Hosting it yourself trades the subscription for servers, updates and backups that someone on your team looks after. Our guide to open source ticketing software compares those options.

Moving off Freshdesk to Deskwoot

The one click import above brings your history over, free on every plan.

Freshdesk keeps running while you test on the 7 day trial, so if the numbers don't suit your team, nothing changes. On switch day:

  1. Run the import once more to pick up what is new.
  2. Review your automations before you rely on them (they arrive switched off).
  3. Change email forwarding last, so nothing lands in a tool nobody watches.

The order of a whole switch is in how to switch help desk software.

Frequently asked questions

The short answers are here. For anything else, ask Fynn below.

Which Freshdesk alternatives have a free plan?

Zoho Desk has a free plan for 3 users, Help Scout one for 5 users with 1 inbox and 100 contacts a month, and HubSpot Service Hub is free for up to 2 users. Deskwoot's Hacker plan is free for 1 agent with 100 conversations and 10 AI conversations a month. Zendesk, Front, Intercom, HappyFox and Gorgias offer trials instead, as their pricing pages showed on October 28, 2026.

Which Freshdesk alternatives cost least for a team of 10?

In our example of 10 agents with 1,000 AI conversations a month on annual billing, Deskwoot Business came to $109 and Zoho Desk Standard to $140 if its AI stays inside the free token allowance. Help Scout Standard came to $625, HappyFox Team to $655 before its separate live chat, Intercom Essential at its new customer price to $685 and Zendesk Suite Team to $1,225. Deskwoot is our product, so check the cost section of this post against your own volume.

Can I keep my Freshdesk ticket history when I switch?

With Deskwoot, yes. Its import brings every ticket, archived ones too, with replies, private notes and attachments, plus contacts, companies, groups as teams, canned responses, ticket and contact fields, the knowledge base with its folders and satisfaction ratings. It is free on every plan, only reads from Freshdesk and adds only what is new on a second run, so Freshdesk stays on while you test. Business shows 1 year of that history and Enterprise all of it. Deskwoot is our product.

Which Freshdesk alternatives bill AI per conversation?

Deskwoot counts an AI conversation once a month whatever the AI does in it, at $0.03 to $0.07 beyond the included ones. Front's Autopilot charges once per conversation by outcome, from $0.05 to $0.89. Help Scout ($0.75) and Intercom ($0.99) charge per resolution or outcome, at most once per conversation, while Freshdesk charges per session of 24 hours on chat or 72 hours on email.

Which Freshdesk alternatives keep data in the EU?

Deskwoot hosts every plan in the EU. Zendesk includes EU hosting from Suite Professional once you ask for it to be switched on, Intercom offers it to new workspaces on Advanced or Expert under a contract, and HappyFox lists an optional EU data center from its Team plan. Help Scout says it is hosted on AWS in the United States, and Freshdesk itself lets you pick the EEA when you sign up.
