Microsoft Teams help desk, answered from your shared inbox

People in your Microsoft 365 organization write to your support team right in Teams, in a private chat with the Deskwoot app or in a channel. Your team answers from Deskwoot, and Fynn can answer first.

Overview

Many teams spend their whole day in Microsoft Teams, so that is where they ask for help. Connect your Microsoft 365 organization, and people write to your support team in a private chat with the Deskwoot app or in a channel of a team the app was added to. Each private chat and each channel thread becomes a conversation in Deskwoot, next to your email, live chat and WhatsApp.

Setup takes a few minutes. An administrator of your workspace connects the organization with the Microsoft account of a Global Administrator or Teams Administrator, and your Microsoft 365 admin uploads the Deskwoot app in Teams once. People find it right away under Apps > Built for your org. Deskwoot keeps no Microsoft password and no access to your organization.

You decide for each channel whether Deskwoot stores its posts, and whether only posts that mention Deskwoot start a conversation or every new post does. Replies in a thread that already has a conversation reach it, with or without a mention. Deskwoot does not work in private channels or group chats, and files attached to a channel post do not reach it, only the text does.

Your team answers from Deskwoot, on the web or in the app, and the answer shows up in the same chat or thread with the agent's name in front. Files your team sends go out as download links, and pictures people paste into a chat arrive in the conversation. When your team resolves or reopens a conversation, Deskwoot posts a short note in the person's language.

Fynn can answer first, from the Startup plan. In a private chat he answers like in any chat, and Teams shows that he is typing. In a channel thread he answers the post that started it and every message that mentions Deskwoot. Several people read a thread, so there he gives general answers only and hands account questions to your team.

What you get with Microsoft Teams support

  • Private chats and channels

People write in a private chat with the Deskwoot app or in a channel. Each chat and each thread becomes a conversation in your inbox.

  • You choose the channels

Switch each channel on or off, and pick whether only posts that mention Deskwoot or every new post start a conversation.

  • Status notes in Teams

When your team resolves or reopens a conversation, the person gets a short note in Teams, in their language. You can switch it off.

  • Fynn in Teams

Fynn answers first in private chats and threads, from the Startup plan. In a thread he gives general answers and leaves account questions to your team.

Tickets from Teams chats

When a question in Teams needs another team, such as IT or HR, turn the private chat or thread into a ticket for that team. They work on it behind the scenes, and the person who asked never sees the ticket. Your reply from the ticket goes back into the same chat or thread with your name in front. When the person writes back there, the ticket notes it and shows up as unread again for whoever works on it.

If many people report the same outage, link their chats to one tracker. Write the update once, and each person gets it in their own chat or thread. Tickets and trackers come with the Enterprise plan, and every new workspace starts with 7 days of Enterprise.

How tickets work

Getting started

Connect Microsoft Teams in 3 steps.

  1. In Deskwoot, go to Settings > Inboxes > Add Inbox, choose Microsoft Teams and sign in as a Global Administrator or Teams Administrator.
  2. Download the app on the inbox's Microsoft Teams tab. Your Microsoft 365 admin uploads it in Teams under Apps > Manage your apps.
  3. For channels, a team owner adds the app to the team. Then switch the channels on in Deskwoot.

Frequently asked questions

The short answers are here. For anything else, ask Fynn below.

Which plan do I need for Microsoft Teams?

Microsoft Teams works on every plan, the Free plan too, where it uses the plan's one inbox. Fynn answers in Teams from the Startup plan, and the 7 day trial includes that. Connecting Teams costs nothing extra.

Who can write to us in Teams?

People in the Microsoft 365 organization you connected: in a private chat with the Deskwoot app, or in a channel of a team the app was added to. In channel threads, guests of your organization and people from other organizations in a shared channel the app was added to can write too. Deskwoot never starts a chat on its own; people write first.

Does Deskwoot read every message in our channels?

To follow the replies in a thread, the app may read the messages of the channels in a team it was added to. Deskwoot keeps only the messages of private chats with the app and of threads in channels you switched on, and drops everything else without storing it.

Can we send files in Teams?

Yes. Files your team sends go out as download links, and pictures people paste into a chat arrive in the conversation. Files attached to a post in a channel do not reach Deskwoot, only the text does.

Can I connect more than one Microsoft 365 organization?

Yes, each as its own Microsoft Teams inbox. One organization can be connected to one Deskwoot workspace only, and the Free plan has one inbox, so there it is one organization.
