Viewing slots from your Outlook calendar: buyers pick a time, you confirm with 1 tap
Once a chat can offer real times from your Outlook calendar, an agency has to decide which viewings it may book, how much driving time to leave between homes and who gives the final yes.

Tuesday, 9:40 pm. A buyer on your listing page asks to see the 2 bedroom flat on Linden Street. Your office closed at 6, the chat promises an answer tomorrow, and by then the buyer has written to 3 other agents.
Now a chat can offer real times from your Outlook calendar. Decide 3 things first: which viewings it books, the drive time between homes, and who says yes.
Late requests are normal in this business. InStep AI, a London company that sells an AI assistant to estate agents, says 31% of the viewing requests in its own client data arrived outside office hours.
Property Industry Eye reported the figure in August 2026. It is vendor data from a company with an interest in the result, so read it as a rough guide.
Fynn, the AI assistant in Deskwoot, offers real free times from a connected Outlook calendar and books the one the buyer picks. He does it wherever he answers, for example on website chat, email, WhatsApp, Telegram, LINE, SMS and X.
The booking flow itself is in our launch post. An agency has more to decide than a salon, because your appointments happen in other people's homes, across town, often with strangers.
Which viewings a chat may book
An appointment type is what customers can book: a name and a length between 5 and 480 minutes.
Write the name the way you would say it out loud. The buyer sees it in every message about the booking, and your agent sees it in the calendar entry, next to the buyer's name.
A starting set for a sales and lettings agency
| Type | Length | Why this length |
|---|---|---|
| First viewing | 30 minutes | Most requests. Short enough to fit between other appointments. |
| Second viewing | 60 minutes | Buyers come back with a partner, a tape measure or a builder, and they stay longer. |
| Seller meeting | 60 minutes | An owner meets you at the property. Fynn books the meeting and never estimates a price; the valuation stays your job, in person. |
What stays off the list
An open house has a fixed time and needs no booking. Put the time on the listing page or in the brochure, and Fynn answers it like any other listing question.
Block viewings for a popular rental don't fit either, because each booking takes the slot for one person. Keep organizing those by hand.
One type per home, or generic types
With a handful of listings, you can create a type per home, such as "Viewing Linden Street 12", so the address sits right in the agent's calendar. Fynn then asks which home the buyer means when that isn't clear.
A workspace can have up to 30 types. When an offer is accepted, switch that home's type to Paused. A larger office keeps the generic types and opens the conversation from the link in the calendar entry.
Bookable hours that leave time to drive
Bookable hours are one weekly schedule in one time zone, for example Monday to Friday 10:00 to 19:00 and Saturday 10:00 to 14:00. Fynn offers only times inside them when the calendar is free.
He always names the time zone, which helps with buyers moving from abroad.
The buffer is the drive
For an agency, the setting that matters most is the buffer. Deskwoot keeps it free before and after every busy time in the calendar, up to 2 hours.
Say your agent has a viewing at Oak Lane from 11:00 to 11:30 and you set a 30 minute buffer. The next 30 minute viewing Fynn can offer starts at 12:00, and the last one before it has to end by 10:30.
That half hour is the drive. The buffer is the same for every home, so set it for your usual drive. For a viewing far out of town, put the travel into the calendar yourself as a busy block.
Notice, booking range and start times
Three more rules decide which times buyers see:
- Minimum notice: 2 hours by default, up to a week. If the keys come from the office, or a tenant still lives in the home and has to be told, 24 hours is the safer setting.
- Bookable ahead: 30 days by default, up to 90. Homes can go under offer within 2 weeks, and 14 days keeps you from promising viewings of one that is gone.
- Start times: every 30 minutes by default. Keep it at 30 or 60 rather than 10 or 20, so your day doesn't end up with viewings at 10:20 and 11:40.
One calendar per agent, or one per office
You can make up to 20 calendars bookable and give each one the name buyers see. With one calendar per agent, a buyer can ask for Anna by name. When several agents are free at the same time, Fynn books the first one in your order.
That works when any agent can show any home. If only the listing agent has the keys, one shared "Viewings" calendar per office usually fits better, run by whoever coordinates the diary. Fynn does not know which agent belongs to which listing.
Private appointments that block time
Other calendars of the same Microsoft account can block times, including ones shared with it that it can only see. With a calendar per agent, add the agent's private calendar there.
The dentist and the school run then keep those hours closed, and nobody at Deskwoot sees what they are.
Who says yes: your team or Fynn
You choose separately for new bookings, cancellations and moves. For a new booking, both start the same way: Fynn offers up to 3 free times, the buyer picks one, and Deskwoot asks the buyer for a plain yes. Nothing is booked before that yes.
Your team confirms with 1 tap
This is the default. Fynn holds the time, the buyer reads that the request is with the team, and your team gets a notification and a card with Confirm and Decline in the conversation.
If nobody decides within 2 hours, the team gets one reminder. A request waits 23 hours at most, or less when the minimum notice before the viewing starts sooner.
If it runs out, the buyer reads that you could not confirm in time, and the conversation goes to your team.
In this mode Fynn offers only times that leave your team at least 60 minutes of bookable hours to confirm before the notice period begins. A request at 10 pm never gets tomorrow's first slot.
A decline can come with other times: the dialog suggests free ones, and you can offer up to 3. The offer stays open for 48 hours or until the last offered time starts. If the buyer picks one that is still free, Fynn books it.
Fynn books on his own
The viewing goes straight into the calendar after the buyer's yes, and your team gets a note. Fynn books at most 5 appointments on his own per workspace in a rolling hour. Above that, new bookings wait for your team like requests.
Where real estate leans toward a person
Safety at an empty home
Safety comes first. A booking from a chat can send someone you have never met to an empty home.
In the 2023 member safety report of the US National Association of Realtors, the typical respondent met new prospects at the office or in a neutral place 65% of the time. And 34% had felt unsafe in the past 12 months while showing a vacant property with poor or no phone coverage.
A confirmation step gives the agent a minute to read the conversation, look at the name and decide whether to meet at the office first.
Buyer agreements in the US
Since August 17, 2024, an MLS participant who works with a buyer needs a signed written agreement before that buyer tours a home, live virtual tours included. Some states require the agreement earlier.
The NAR settlement FAQ (questions 73 and 77) says a listing agent who only gives an unrepresented buyer access on behalf of the seller does not need one.
So a chat that books viewings of your own listings needs no agreement, as long as your agent acts only for the seller. If your buyer agents take tour requests in the same inbox, keep team confirmation, so somebody checks the agreement first.
What Fynn asks the buyer
For the booking itself, Fynn asks only for the name to book under and, on live chat, an email address.
For rentals in Germany that fits the guidance of the German data protection authorities. It says questions about a person's finances are usually not necessary at the viewing stage (DSK guidance, version 2.0, January 2026, in German).
The US and German points above are general information, not legal advice.
A limit per buyer
Each buyer can have at most 2 upcoming appointments through Fynn. Someone who wants to see 4 homes on Saturday gets the first 2 from the chat, then a teammate takes over. You probably want to call that buyer anyway.
The setup we would start with
Your team confirms new viewings and moves, and Fynn handles cancellations. When a buyer cancels, Fynn removes the viewing from the calendar right after the buyer's yes, and the slot is free for the next person.
Fynn only changes a viewing for the buyer it belongs to, in the conversation where it was booked or after that buyer verified who they are.
Why the calendar entry has no attendees
When a viewing is booked, Deskwoot writes a private event into the agent's calendar, shown as busy. The title is the type and the buyer's name.
The description holds the buyer's email or phone number and a link to the conversation, and nothing from the chat itself. The event has no attendees, so Outlook sends nobody an invitation.
The buyer hears back where they asked
That is on purpose. The buyer already gets the confirmation where they asked: on WhatsApp, in the chat, by SMS or by email. On live chat every message about the viewing also goes out by email, so it reaches someone who closed the tab.
An Outlook invitation would be a second confirmation from the agent's own address. Any reply to it would land in that one mailbox instead of the shared inbox where your team sees the conversation.
What Deskwoot reads in your calendar
To find free times, Deskwoot reads only the start and end of events and whether they show as busy. It never reads titles, descriptions, attendees or locations.
Only the free times it works out reach the AI. If you ever disconnect the calendar, the events Deskwoot created stay in it.
Switching it on, in order
Deskwoot books into Outlook calendars. Google Calendar is not available yet.
- Go to Settings > Integrations and click the Outlook Calendar card. Connect with a Microsoft 365 or Outlook.com account. If your Microsoft 365 organization lets only administrators approve apps, Deskwoot gives you a link to send to your administrator.
- Switch on the calendars buyers can book, give each a name, put them in order, add the calendars that should only block time, and save.
- Add your viewing types with their lengths.
- Set the bookable hours and time zone, the minimum notice, how far ahead, the buffer and the start times.
- Turn on "Fynn offers free times", choose who decides new bookings, cancellations and moves, and click Save booking rules. That saves this step and the one before together.
- Open the Preview on the same page. It lists the next free times Fynn would offer right now, read live from your calendars. If your Saturday looks wrong there, fix the rules before a buyer sees it.
Fynn books only in inboxes where he answers as a Support Bot. As an Info Bot he answers questions and books nothing.
Then message your own WhatsApp number from a colleague's phone and book a viewing the way a buyer would.
What it costs, and how to try it
You can connect Outlook on every Deskwoot plan, the free one included. Fynn offers and books viewings on every paid plan, starting with Startup at $4 per agent a month ($3.20 billed yearly).
Each conversation Fynn works on counts once a month toward your plan's AI conversations (how Fynn is billed). All plans are on the pricing page.
For the Linden Street buyer, that means 3 real times at 9:40 pm, the same evening they asked. Your agent confirms the one they picked with 1 tap, and the viewing sits in the Outlook calendar the agent already works from.
What Fynn answers about your listings, and what he does when an owner asks for a valuation, is on our page for real estate agents. If your listings live in Propstack or Justimmo, Fynn can answer from them directly.
To test it on one listing, sign up, connect one agent's Outlook calendar and add a single viewing type. The Preview shows the times Fynn would offer before any buyer sees them.
The trial runs 7 days on the Enterprise plan, without a card, for up to 30 seats including yours. When it ends, choose a plan or stay on the free Hacker plan.
