Your Zendesk bill keeps climbing, yet the team hasn't grown. Live chat sits one plan up, each ticket the AI settles beyond a small allowance costs $1.50 or more, and Copilot adds $50 per agent.
Below are 10 Zendesk alternatives for teams of 5 to 30 agents, with the full monthly bill. Deskwoot is ours, so it comes first, downsides included. Its free import brings your tickets, macros and help center over.
Quick answer: the best Zendesk alternatives for your kind of team
Take 10 agents whose AI agent answers first in 1,000 conversations a month and settles 500 alone. On Zendesk Suite Team that month costs $1,225, on Suite Professional with Copilot $2,250.
| Tool | Fits teams that | Bill for 10 agents with AI | AI cost | Channels in one plan |
|---|---|---|---|---|
| Deskwoot (ours) | want a fixed AI price per conversation and Copilot on every plan | $109 (Business) | $0.03 to $0.07 per AI conversation after the included ones | Email, live chat, WhatsApp and 7 more; REST API on Enterprise |
| Help Scout | work mostly by email | $625 (Standard) | $0.75 per resolution | Email, live chat, SMS, WhatsApp, Instagram, Messenger |
| Freshdesk | want ticketing close to Zendesk | $780 (Omni Growth) | $49 per 100 sessions after 500 free once | Email and live chat on Omni plans |
| Zoho Desk | already run on Zoho apps | Not in dollars: the page shows your local currency | Up to 30 million free tokens a month, or your own key | Live chat, WhatsApp, Telegram, LINE, Messenger, Instagram from Standard |
| Front | answer business customers by email | From $700 (Professional) | From $0.05 per conversation; Copilot $20 a seat | Several channel types such as email, chat and SMS (Starter: one); WhatsApp at Meta's fees plus 20% |
| Intercom | sell software, mostly over chat | $685 (Essential, new customer price) | $0.99 per outcome; Copilot $29 a seat | Built around chat; other channels not checked |
| Hiver | live in Gmail or Outlook | $250 plus AI (Growth) | No AI price on the page | Email and live chat |
| HubSpot Service Hub | keep sales and marketing in HubSpot | $1,120 plus $1,500 once (Professional) | About $0.50 per resolution in credits | Live chat, even on the free plan; others not checked |
| Gorgias | run a Shopify store | $750 (Pro, billed by tickets) | $0.90 per automated interaction on annual plans | Not checked |
| LiveAgent | need phone, chat and social in one tool | $290 plus your AI provider (Team) | No AI fee from LiveAgent | Email, live chat, calls, WhatsApp, Telegram, social channels |
Bill for 10 agents: 2,000 conversations a month, the cheapest plan with live chat and the AI agent, billed annually, as worked out in the cost section below. Prices come from each vendor's own pricing page, in US dollars, checked on October 28, 2026.
Every tool we could price comes in under $1,225 on the cheapest plan that fits this team, except HubSpot in year one ($1,500 onboarding fee). On bigger plans, Intercom Advanced ($1,345) and Freshdesk Omni Pro with Copilot ($1,570) cost more.
Why small teams look elsewhere
Zendesk is a good product. For teams of 5 to 30 agents, the trouble is mostly in how it is packaged.
Live chat is not in the cheapest plan
Support Team covers email and ticketing for $19 per agent a month billed annually ($25 monthly).
Messaging and live chat start at Suite Team: $55 per agent billed annually ($69 monthly), according to Zendesk's pricing page, checked October 28, 2026.
For 10 agents, a chat widget on your site costs $360 more a month in seats, before any AI.
AI billed per automated resolution
Zendesk bills its AI agents by automated resolution, a request the AI settles without a person. Each month includes:
- 5 per agent on Support Team and Suite Team
- 10 per agent on Suite Professional
- at most 10,000 a year
Above that, each one costs $1.50 on a committed volume or $2.00 if you pay as you go.
You only pay when the AI works, which is fair. It also means the bill rises as the AI gets better.
With 10 agents on Suite Team you get 50 resolutions included. If the AI settles 500 conversations a month, the other 450 cost $675, more than the seats.
Add-ons such as Copilot
Copilot, the AI assistant for agents, costs $50 per agent a month billed annually. You can only add it to Suite Professional or higher.
Without it, Suite Professional gets the writing tools and ticket summaries for 5 uses per agent a month, pooled across the team. Support Team and Suite Team get none.
The pricing page also lists:
- a Workforce Engagement Bundle at $50 per agent
- Contact Center at $83 per agent
- Quality Assurance as an add-on without a public price
A 10 agent team on Suite Professional with Copilot pays $1,650 a month before the AI agent bills a single resolution.
Triggers, macros and views need upkeep
This cost never shows up on an invoice. After a few years, most Zendesk accounts carry triggers nobody can explain, macros for retired products and views one person uses.
Every change then risks breaking something two triggers away.
Before you compare tools, count your active triggers and ask who owns each one. That list decides how hard a move will be.
For SLA timers and routing, see our SLA and routing comparison.
How we compared
We looked for alternatives to Zendesk that a team of 5 to 30 agents can run without a project. Prices and AI units come from each vendor's pricing page on October 28, 2026, billed annually.
Every tool gets the same scenario: its cheapest plan with live chat and its AI agent, which answers first in 1,000 conversations a month and settles 500.
Zoho Desk showed us prices in Indian rupees, so it stays out of the dollar math.
Switch from Zendesk in one click
Enter your Zendesk subdomain, the email of a Zendesk admin and an API token, click Start Import, and Deskwoot brings everything over in the background. Your team keeps working in Zendesk until switch day.
What comes over:
- every ticket, archived ones too, with every comment, private note and attachment
- status, priority, tags, custom fields, team and assignee
- end users as contacts, and organizations
- groups as teams (you add the members in Deskwoot)
- macros as canned responses
- active triggers as automation rules, switched off until you check them
- active views as saved filters
- your help center with categories, sections and nested sections
- satisfaction ratings
On switch day, click once more and only what is new comes over. The import is free on every plan, even the free Hacker plan, and changes nothing in your Zendesk. The Zendesk import guide has the steps.
10 Zendesk competitors that cost less for 5 to 30 agents
Deskwoot
Deskwoot is ours, so weigh this part accordingly. It is a shared inbox with an AI agent (Fynn), an AI assistant for agents (Copilot) and a help center.
Pick something else if you need Facebook Messenger or Instagram, a marketplace as large as Zendesk's, or phone without 3CX.
Per agent a month, billed annually:
- Hacker: free for 1 agent
- Startup: $3.20 ($4 monthly)
- Business: $6.40 ($8 monthly)
- Enterprise: $9.60 ($12 monthly)
On the 4 problems above: live chat is on every plan, and all 11 channels (email, live chat, WhatsApp, Telegram, LINE, SMS, X DMs, Microsoft Teams, Discord, 3CX phone calls, REST API) land in one inbox.
AI is counted per conversation, once a month, when Fynn or Copilot helps in it. Paid plans include 50, 100 or 300 a month, and extra ones cost $0.07, $0.05 or $0.03, with no fee per resolution.
Copilot is on every plan with no seat fee. For the 10 agent team in the cost table below, that comes to $109 a month on Business.
Your Zendesk history comes over with the one click import above, and imported conversations never count toward your monthly limit.
The downsides, plainly:
- SLA policies, tickets and the REST API need Enterprise.
- Startup stops at 1,000 conversations a month.
- Below Enterprise, older history stays hidden, imported tickets included (Business shows 1 year).
- You get one branded help center per workspace.
- Facebook Messenger and Instagram are missing.
- We have 20 integrations; Zendesk lists more than 1,800 apps, partners and integrations.
- Phone works only through 3CX, and Fynn never answers calls.
- We are a newer, smaller vendor than Zendesk.
The next step is one test on your own data: start 7 days of Enterprise free without a card and run it next to Zendesk:
- Run the import on day one.
- Forward a copy of your support email, put the chat widget on a test page and work real conversations in both tools for a week.
- On switch day, run the import again, point email and the widget at Deskwoot, and turn off Zendesk triggers that email customers.
After the trial you keep the free Hacker plan unless you pick a paid one. The side by side bill is on our Zendesk comparison page.
Freshdesk
Freshdesk is organized much like Zendesk: tickets, a shared inbox, a knowledge base and an AI agent called Freddy.
According to Freshdesk's pricing page, checked October 28, 2026, Growth, Pro and Enterprise cost $19, $55 and $89 per agent a month billed annually. Growth is pitched as service over email.
Freshdesk Omni, for service across channels, costs $29, $79 and $119.
AI is billed by session: 500 free once per account, then $49 per 100. Sessions are counted by time: one chat session covers 24 hours, one email session 72 hours from the first email.
Freddy Copilot is $29 per agent a month, on Pro and Enterprise only. Day passes for occasional agents start at $2.
The trial is 14 days; the pricing pages show no free plan.
Pick something else if you want the AI bill to follow results, or if Copilot is the reason you are leaving Zendesk.
Help Scout
Help Scout feels more like email than a ticket queue. According to its pricing page, checked October 28, 2026, Standard costs $25 per user a month billed annually and includes live chat, SMS, WhatsApp, Instagram and Messenger.
The other plans:
- Plus: $45
- Pro: $75, with at least 10 users
- Free: 5 users, 1 inbox and 100 contacts a month
The AI agent bills $0.75 per resolution, only when the customer does not escalate or ask for more help, at most once per conversation.
You can set a monthly spending cap, and new accounts get 3 months of AI resolutions free. The trial is 15 days without a card.
Watch the user limits: Standard stops at 25 users and Plus at 50, so a 26th agent moves everyone up a plan.
Pick something else if you will pass 25 soon or need more than Standard's one basic SLA policy.
Zoho Desk
Zoho Desk makes most sense if your company already uses other Zoho apps.
Its pricing page shows your local currency. Ours showed Professional at ₹1,400 per user a month billed annually, checked October 28, 2026.
The trap for teams of 5 to 30 is the user limit. The FAQ says Standard allows 5 users and higher plans have no limit, so a 10 agent team starts at Professional.
Standard and up include a live chat widget plus WhatsApp, Telegram, LINE, Messenger and Instagram.
AI agents get up to 30 million free tokens a month on Zoho's model, or use your own key. The page does not say what comes after.
The trial is 15 days without a card, and the free plan has 3 users.
Pick something else if you use no other Zoho apps, since that link is the main reason to choose it.
Front
Front suits teams whose customers write long emails and expect a named person to answer. Per seat a month billed annually, according to Front's pricing page checked October 28, 2026:
- Starter: $25, but only up to 10 seats and one channel type (email, chat or SMS)
- Professional: $65, up to 50 seats and several channels
- Enterprise: $105
The AI agent, Autopilot, starts at $0.05 per conversation through sales. Copilot is $20 per seat a month on Starter and Professional and included in Enterprise.
WhatsApp passes Meta's fees through plus a 20% admin fee. The trial is 14 days without a card.
Pick something else if you need a help center in several languages, which Front lists only on Enterprise, or if your team mostly answers short chats.
Intercom
Intercom is built around chat and its AI agent, Fin. Per seat a month, according to Intercom's pricing page checked October 28, 2026:
- Essential: $29, shown as $19 for new customers on annual billing
- Advanced: $85 on annual billing
- Expert: $132 on annual billing
Fin costs $0.99 per outcome: the customer confirms it worked, asks for nothing more, or Fin finishes a workflow, handoffs included.
Intercom charges at most one outcome per conversation. Fin's own pricing page says a conversation passed to your team without an outcome costs nothing.
Copilot is $29 per agent a month billed annually, with 10 free Copilot conversations per agent each month. The trial is 14 days without a card, and small startups can apply for up to 93% off.
The catch for Zendesk teams: the workflow builder, round robin assignment and multiple team inboxes start at Advanced, and SLAs at Expert. If you rely on triggers today, plan on $85 per seat.
Pick something else if most of your volume is email.
Hiver
Hiver Omni is a standalone help desk for Gmail, Outlook and other email providers (Hiver in Gmail is a separate product). Per user a month billed annually, according to Hiver's pricing page checked October 28, 2026:
- Omni Growth: $25 ($35 monthly)
- Pro: $55
- Elite: $85
Growth covers email and live chat and lists AI agents and AI Copilot. We found no price for AI usage, so ask how it is metered.
Seats come in steps: 2, then 5, then steps of 5 (10, 15, 20). A team of 12 pays for 15.
SLAs and CSAT surveys start at Pro. The trial is 7 days without a card.
Pick something else if your team size falls between the steps, or if you need SLA policies on the entry plan.
HubSpot Service Hub
If sales and marketing already work in HubSpot, support in the same CRM saves a lot of copying. HubSpot's pricing page, checked October 28, 2026, lists:
- a free plan for up to 2 users with live chat
- Professional at $90 to $100 per seat, plus a required onboarding fee of $1,500, paid once
- Enterprise at $150 per seat plus $3,500
Customer Agent, the AI agent, runs on HubSpot Credits. HubSpot's credits page lists 50 credits per resolved conversation on text channels at $0.01 a credit, so about $0.50 per resolution.
Professional includes 3,000 credits a month (about 60 resolutions), and credits reset every month.
Pick something else if your company does not use HubSpot CRM, because then you pay HubSpot prices without the main benefit.
Gorgias
Gorgias is built for online stores, Shopify above all, and bills by tickets instead of seats. According to its pricing page, checked October 28, 2026, Basic includes 500 user seats.
Billed annually, with the monthly price in brackets:
- Basic: $50 a month for 300 tickets ($60)
- Pro: $300 for 2,000 tickets ($360)
- Advanced: $750 for 5,000 tickets ($900)
- Extra tickets: $40 per 100 on Basic, $36 per 100 on Pro and Advanced
AI Agent adds a fee per automated interaction, a request settled without a person, and each one also counts as a ticket. On annual billing, Pro adds $171 a month for 190 interactions.
The plan table and FAQ put each interaction at $0.90 on annual plans. The page code also lists $1.50 for each one above the allowance, so ask Gorgias which rate applies before you budget.
Our Gorgias math for small stores covers a Black Friday month.
Pick something else if you do not sell online, or if your volume swings a lot from month to month.
LiveAgent
LiveAgent puts email, live chat, a call center and social channels in one tool and charges nothing for AI.
According to its pricing page, checked October 28, 2026, you connect your own provider (OpenAI, Anthropic, Google Gemini or FlowHunt) and pay it directly. By LiveAgent's estimate that is about 1 to 2 cents per resolved chat.
Regular annual prices per agent:
- Starter: $15, up to 5 agents
- Team: $29, up to 15 agents
- Business: $49
An offer until November 22, 2026 cuts those to $11, $22 and $38, and you keep that price as long as you keep the plan.
WhatsApp, Telegram, social channels and calls start at Team. The trial is 30 days without a card.
Pick something else if you do not want to manage an AI key and its bill, or will pass 15 agents on Team.
Which one costs less for your team (10 and 25 agents, 1,000 AI conversations)
Same scenario as in the quick answer: each tool on its cheapest plan with live chat and its AI agent, billed annually, prices checked on October 28, 2026.
10 agents, 2,000 conversations a month
| Tool and plan | Seats | AI agent | AI help for agents | Month total |
|---|---|---|---|---|
| Zendesk Suite Team | 10 × $55 = $550 | 50 included, 450 × $1.50 = $675 | Copilot not offered | $1,225 |
| Zendesk Suite Professional with Copilot | 10 × $115 = $1,150 | 100 included, 400 × $1.50 = $600 | 10 × $50 = $500 | $2,250 |
| Deskwoot Business | 10 × $6.40 = $64 | 100 included, 900 × $0.05 = $45 | Copilot included | $109 |
| Freshdesk Omni Growth | 10 × $29 = $290 | 1,000 sessions, 10 packs × $49 = $490 | Copilot needs Pro | $780 |
| Help Scout Standard | 10 × $25 = $250 | 500 × $0.75 = $375 | AI inbox assistant included | $625 |
| Front Professional | 10 × $65 = $650 | From 1,000 × $0.05 = $50 | +$20 a seat | From $700 |
| Intercom Essential | 10 × $19 = $190 | 500 × $0.99 = $495 | +$29 a seat | $685 |
| Hiver Growth | 10 × $25 = $250 | No price on the page | Listed in the plan | $250 plus AI |
| HubSpot Service Hub Professional | 10 × $90 = $900 | 25,000 credits, 3,000 included, 22,000 × $0.01 = $220 | Not checked | $1,120, plus $1,500 once |
| Gorgias Pro (billed by tickets) | $300 for 2,000 tickets | $171 for 190, then 310 × $0.90 = $279 | Not checked | $750 |
| LiveAgent Team | 10 × $29 = $290 | Your AI provider's bill | AI answer assistant included | $290 plus provider |
- Deskwoot counts all 1,000 conversations Fynn answers, including the 500 it hands to a person, where Zendesk, Help Scout, Intercom and HubSpot bill only the 500 settled. Copilot use in other conversations counts too: 500 more would add $25.
- Freshdesk's 500 free sessions make the first month $245 cheaper. Omni Pro with Copilot comes to $1,570.
- Intercom's $19 is for new customers. On Advanced, which has the workflow builder, the month is $1,345.
- HubSpot's onboarding fee spread over year one makes it $1,245 a month.
- If Gorgias bills the 310 extra interactions at the $1.50 its page code lists, the month is $936.
- LiveAgent's offer price for Team would make the seats $220.
25 agents, 5,000 conversations a month
The AI volume stays the same: it answers first in 1,000 conversations and settles 500.
| Tool and plan | Month total | What changes |
|---|---|---|
| Zendesk Suite Team | $1,937.50 | 125 included resolutions, 375 × $1.50 |
| Zendesk Suite Professional with Copilot | $4,500 | 250 included resolutions, 250 × $1.50 |
| Deskwoot Enterprise | $261 | 25 × $9.60 plus 700 × $0.03, with SLA policies; Business: $205 |
| Freshdesk Omni Growth | $1,215 | Same AI cost |
| Help Scout Standard | $1,000 | 25 users is the Standard maximum |
| Front Professional | From $1,675 | Copilot would add $500 |
| Intercom Essential | $970 | Advanced: $2,620 |
| Hiver Growth | $625 plus AI | 25 is one of the seat steps |
| HubSpot Service Hub Professional | $2,470, plus $1,500 once | 25 × $90 plus the same $220 in credits |
| Gorgias Advanced | $1,227 | $750 for 5,000 tickets, $477 for 530 AI interactions |
| LiveAgent Business | $1,225 plus provider | Team stops at 15 agents; $950 at the offer price |
Redo it with your own invoices
Take 3 months of invoices and note seats, AI resolutions or sessions, and every add-on line.
In the example, the AI and Copilot lines are what separate the cheaper Zendesk alternatives from the rest.
When staying on Zendesk is the right call
- Your AI settles few tickets. At 10 agents on Suite Team, the first 50 resolutions a month are included.
- You run several brands with their own help centers. Suite Professional includes up to 5.
- Many people outside support read and comment on tickets. Suite Professional includes up to 100 light agents.
- Your workflows depend on marketplace apps. Zendesk lists more than 1,800 apps, partners and integrations.
- You need phone with IVR inside the help desk. IVR phone trees come with Suite Professional.
- Your annual contract has months left. Plan the move for renewal and check your notice period.
- You are an early stage startup. Zendesk for Startups offers a 6 month Suite trial for up to 50 agents, per the pricing page, and the site menu mentions up to 2 years free for qualified startups.
Before your next Zendesk renewal
Pick the 2 tools from the quick answer that fit how your team works. Redo the cost table with your invoices, and test both next to Zendesk before the renewal date.
Before any move, delete the triggers, macros and views nobody uses, and export what you need from Zendesk before you cancel. For the channel side, see how to switch help desk software.
The full bill is on our Zendesk comparison page (also for Freshdesk and Intercom), with plans on pricing and the steps on switch.
If one of them is Deskwoot, start the free 7 days and run the one click import above on day one. You need no card or sales call.
