What you get

What you get with the Google Calendar integration

Free times right in the chat

Fynn reads your Google calendars live and offers up to 3 free times, written out with the time zone so they work on every channel.

A calendar per person or room

You can make up to 20 calendars bookable and give each the name customers know. When several are free at the same time, Fynn books the first one in your order.

Confirm with 1 tap, or let Fynn decide

Choose who decides new bookings, cancellations and moves: your team on the card in the conversation, or Fynn after the customer's yes.

Your events stay private

Deskwoot reads only when a calendar is busy. Its own events are private and have no attendees, so the calendar sends no invitations.

How to connect

Ready in 4 steps

  1. In Deskwoot, open Settings → Integrations and click the Google Calendar card. It opens the Appointments page.
  2. Under Connected calendars, click Connect Google Calendar and sign in with the Google account whose calendars Fynn should use. Leave every permission ticked.
  3. Under Calendars Fynn books into, switch on the calendars customers can book, give each one the name customers see and click Save.
  4. Add an appointment type, set your bookable hours and time zone, turn on Fynn offers free times and click Save booking rules. Fynn then books in every inbox where he answers as a Support Bot.

Summary

Google Calendar in detail

Someone who asks for an appointment in the chat would rather get a time than a link. Fynn reads when your Google calendars are busy and offers up to 3 free times in the conversation, on the channel the customer wrote on: website chat, email, WhatsApp, Telegram, LINE, SMS or X.

You pick the calendars customers can book, for example one per person or one per room, and the name Fynn uses for each, so a customer can ask for Anna by name. Fynn books into calendars the Google account owns, and other calendars it can see can block times as well, such as a private one or a shared team calendar. Deskwoot only asks when a calendar is busy and never reads the title, description, attendees or location of your events.

Appointment types set what customers can book and how long it takes, like a haircut of 45 minutes. Your bookable hours, the minimum notice, how many days ahead people can book and a buffer around busy times decide which times Fynn offers. He always gets the customer's yes before he books, and in live chat he asks for an email address first, because every message about the appointment also goes out by email.

You decide who has the last word, separately for new bookings, cancellations and moves. By default Fynn holds the time and your team confirms it with 1 tap on the card in the conversation. You can also let Fynn book, cancel or move on his own after the customer's yes, and he lets your team know. Each booked appointment becomes a private event without attendees in the calendar it was booked into, with the customer's contact details and a link to the conversation.

You can connect Google Calendar on every plan, the Free plan included. Fynn offers and books times on every paid plan, and the 7 day trial includes that too. It works with personal Google accounts and with Google Workspace accounts. If a Google Workspace administrator blocked Deskwoot for your organization, Deskwoot says so, and once your administrator allows Deskwoot, you connect again.

QUESTIONS

FAQs

Can customers book appointments from my Google Calendar in the chat?

Yes. Connect Google Calendar under Settings → Integrations and switch on the calendars customers can book. On every paid plan, Fynn then offers free times in the chat and books the one the customer picks. Your team confirms with 1 tap, or Fynn books on his own.

What does Deskwoot see in my calendar?

Only when it is busy: when an event starts and ends and whether it shows as busy. Deskwoot never reads the title, description, attendees or location of your events, and the only events it writes are the ones for appointments.

Does it work with Gmail and Google Workspace?

Yes, with both. A Google Workspace administrator can block apps for the organization. Deskwoot then says so after the sign in, and once your administrator allows Deskwoot, you connect again.

Can I connect Outlook as well?

Yes. Connect a Microsoft 365 or Outlook.com account on the same Appointments page, next to your Google account, and pick the calendars Fynn books into from both.

Does Fynn book without asking the customer?

No. Fynn offers only times your calendar shows as free, and he always gets the customer's yes before he books, cancels or moves anything. Whether your team confirms after that is up to you.

What does it cost?

Connecting Google Calendar costs nothing extra and works on every plan, the Free plan included. Fynn offers and books times on every paid plan, and a 7 day trial includes it.
