Salon bookings by WhatsApp: 3 free times from each stylist's calendar, confirmed by you with 1 tap
Fynn can now offer free times from each stylist's Outlook calendar in a WhatsApp chat. Before you switch it on, settle the calendars, the service lengths, the bookable hours and who gets the last word on bookings, cancellations and moves.

It is 9:40 pm and a client writes on WhatsApp: "Any chance of a cut with Mia on Saturday morning?" You answer from the sofa, or see it on Tuesday, after she booked elsewhere.
Deskwoot's AI assistant Fynn can answer her with free times from Mia's calendar. This post covers the settings behind it: a calendar per stylist, real service lengths, breaks that stay free, and who confirms.
Nearly half of salon bookings come in after hours
Phorest, a company that sells salon software, looked at bookings across more than 5,000 salons and spas. 46% of them came in while the salon was closed (Hairdressers Journal, 2019).
That is vendor data and a few years old. Still, anyone who has answered booking requests from bed will recognise it.
Since 23 October 2026, Fynn can answer that kind of message himself. He offers real free times from the stylist's Outlook calendar and books the one the client says yes to. The mechanics are in our launch post.
Give every stylist a calendar
Fynn offers times only from the calendars you switch on in the Appointments settings. Each one gets a name your clients see, so "Mia" works better than "Chair 2".
When a client asks for Mia, Fynn searches Mia's calendar only. When they don't mind who cuts, any calendar will do.
Then the order of your list decides who gets the booking when 2 stylists are free at the same time. If you want your newest stylist's book to fill first, put her at the top.
Outlook today, set up in 2 ways
Today this works with Outlook, on a Microsoft 365 or Outlook.com account. Google Calendar is not available yet. You can set it up in 2 ways:
- Every stylist connects their own Outlook account: someone with admin rights in Deskwoot starts the connection, and the stylist signs in to Microsoft in that same browser. Deskwoot takes more than one connection.
- One salon account holds a calendar per stylist. Microsoft shows how to create additional calendars in Outlook.
Up to 20 calendars can be bookable.
One "Salon closed" calendar for the whole team
The second setup has a bonus: a calendar can also be blocked by other calendars of the same account.
Make one "Salon closed" calendar for holidays and team training, and let it block every stylist. One entry, and Fynn stops offering that day for everyone.
What Deskwoot reads, and the trap with Free
Deskwoot reads only when a calendar is busy: when an entry starts, when it ends, and whether it shows as busy. It never reads titles, notes or who is invited.
One side effect: an entry set to Free or Working elsewhere in Outlook's Show as field counts as open time. A day off saved as Free is a day Fynn will happily fill.
Enter the time a service really takes
An appointment type is a name your clients see plus a length between 5 and 480 minutes. A workspace can have up to 30 of them.
Enter how long the chair is really blocked, processing time and wash included. The number you manage on a good Saturday is too short for a Tuesday with a nervous new client.
An example for a small hair salon:
| Appointment type | Length | Note |
|---|---|---|
| Men's cut | 30 min | Fits the default of a start every 30 minutes |
| Women's cut | 60 min | Blow dry included |
| Root colour | 90 min | Processing and wash included |
| Full head colour | 150 min | Add your usual toner time |
| Balayage | 240 min | With a 7 pm close, the last start Fynn offers is 3 pm |
That last note is a rule: Fynn only offers a time when the whole appointment ends before closing. He also books each type as one block in one stylist's calendar, with 2 consequences.
Gaps inside a service stay invisible
If your colourists fit a men's cut into a colour's processing time, Fynn can't see that window. That kind of juggling stays with you.
Every type can land in every calendar
There is no "only Mia does balayage" switch. For services only some stylists do (say balayage or extensions), you have 2 options:
- Leave them out of the bookable types and handle those requests yourself.
- Keep new bookings with your team, so someone checks the stylist before tapping Confirm.
A type can also be paused, which helps when your only extensions specialist is away for 2 weeks.
New colour clients and the 48 hour test
The UK's NHS advises testing a hair dye at least 48 hours before you use it. If your salon asks new colour clients for a test first, that has to happen before the appointment.
Fynn never asks clients for health details, by design. That leaves you 2 ways to handle it:
- Raise the minimum notice to 48 hours. It then applies to every type, a quick fringe trim included.
- Keep new bookings with your team and send the test details before you tap Confirm.
Bookable hours, and how breaks stay free
Bookable hours are one opening and one closing time per weekday, in your time zone. Clients can only book inside them.
They apply to every calendar, and a day has no gap in it. Breaks and short days therefore belong in each stylist's bookable calendar:
- Lunch: a recurring entry from 1:00 to 1:30 pm, shown as Busy.
- A stylist who works Tuesday to Thursday: recurring entries on the other days, shown as Busy or Out of office.
- The dentist or a training course: the stylist adds it like any other entry, and Fynn stops offering that time.
The 4 booking rules next to the hours
| Rule | Default | Range | Our suggestion for a salon |
|---|---|---|---|
| Minimum notice | 2 hours | None up to 7 days | 2 to 3 hours, so nobody books 9:30 at 9:05 while you are halfway through a colour |
| Bookable ahead | 30 days | Up to 90 days | 60 or 90 days, so regulars can book their next cut 6 or 8 weeks out |
| Buffer | None | Up to 2 hours | 10 minutes to sweep and reset; it is kept before and after every busy entry, breaks included |
| Start times every | 30 minutes | 5 to 120 minutes | 15 minutes if most of your services take 30 or 45 minutes |
Check the Preview first
The Preview on the same page lists the next free times Fynn would offer right now, for any type and any stylist. Check it before you switch Fynn on.
If Mia shows free at 1:15 pm, her lunch entry is set to Free.
Your team confirms, or Fynn books on his own
You make this choice 3 times: for new bookings, for cancellations and for moves. All 3 start on "Your team, with 1 tap".
When your team confirms
With your team confirming, the client's yes holds the time and sends a request. A card with Confirm and Decline appears in the conversation, and your team gets a notification. If the request still waits after 2 hours, 1 reminder follows.
Decline lets you offer up to 3 other times instead. The client can pick one within 48 hours (or until the last offered time starts), and Fynn books it if it is still free.
A request waits at most 23 hours. If nobody decides, the client reads "We could not confirm [the time] in time. A teammate will reply here." and the conversation lands with your team.
What the client sees
Fynn's first reply is in his own words. His last 2 messages are fixed Deskwoot texts that read the same every time.
Client: Hi, any chance of a women's cut with Mia on Saturday morning?
Fynn: Mia is free on Saturday at 9:00 AM, 10:30 AM or 11:30 AM (London time). Which one suits you, and which name should I book it under?
Client: 10:30 please, Lena Park
Fynn: Shall I send the team a request for Women's cut on Saturday, November 14, 10:30 AM (London time) with Mia for Lena Park? Reply yes, or tell me another time.
Client: Yes
Fynn: Your request for Women's cut on Saturday, November 14, 10:30 AM (London time) is with the team. You'll get the confirmation here.
Team mode moves the earliest time
Team mode also changes which times Fynn offers. He only offers a time that leaves your team at least 1 hour inside the bookable hours to confirm before the notice period starts.
With hours from 9 am and the default 2 hours of notice, a client who writes at 10 pm gets times from noon the next day at the earliest. That is the price of a human check, and usually worth it.
When Fynn books on his own
With "Fynn, after the customer's yes", the appointment goes into the calendar straight away and your team gets a notification.
Fynn books at most 5 appointments on his own per rolling hour. Anything above that waits for your team.
Which one fits your salon
Our rule of thumb: decide by your trickiest service. A barbershop where every barber does every cut, with no tests and no deposits, can let Fynn book.
A salon with colour for new clients, deposits on long services or stylists with different skills should confirm. Then you see who booked what, with whom, before it is final.
The WhatsApp 24 hour window
On WhatsApp, a quick decision has a second benefit. Meta lets a business send normal messages only within 24 hours of the client's last message. After that, only approved templates go out (Meta's developer documentation).
A request runs out after 23 hours at the latest, so your decision reaches the client while that window is still open.
A cancellation days later is different. Say a stylist calls in sick on Friday for a Saturday booking made on Monday, and the client has not written since. The window has closed, the client is not told on WhatsApp, and the card says so.
Send an approved template from the reply box instead (see WhatsApp templates).
Rules for cancelling and moving
Cancellations and moves have the same 2 options:
- Cancel, with your team: Fynn gets the client's yes, then your team cancels with 1 tap. Until then the appointment stays booked.
- Cancel, by Fynn: Fynn cancels after the client's yes, removes it from the calendar and lets your team know.
- Move, with your team: Fynn offers free times and holds the one the client picks. Your team moves it with 1 tap, and the old time stays until then.
- Move, by Fynn: Fynn moves it after the client's yes, in the calendar too, and lets your team know.
If you charge for late cancellations
Keep cancellations with your team. A person sees each one while the time is still in the book and can point the client to your policy. Fynn can quote that policy from your own content.
Moves are easier to hand over. The client keeps an appointment, and the old time stays booked until the new one is set.
2 limits that protect your book
Fynn changes an appointment only for the client it belongs to: in the conversation it was booked in, or once they have verified who they are.
Fynn also books at most 2 upcoming appointments per client. When a parent books cuts for 3 children, a teammate takes over the third.
What lands in your calendar
Each booking creates a private entry, shown as Busy and titled with the type and the client's name ("Women's cut: Lena Park").
The entry holds the client's email or phone number and a link to the conversation, nothing from the chat itself. It has no attendees, so nobody gets an invitation email.
If you ever disconnect the calendar, the entries Deskwoot created stay where they are.
What it costs, and how to try it
Connecting a calendar works on every Deskwoot plan, the free Hacker plan included. Fynn offering and booking times needs a paid plan, starting with Startup:
- $4 per agent a month, or $3.20 billed annually
- 50 AI conversations a month for the whole workspace
- $0.07 for each extra conversation
A booking chat counts once a month, however many messages it takes. All plans are on the pricing page.
For the 9:40 pm client, that means real times from Mia's calendar the same evening. You confirm her pick with 1 tap, or Fynn books it, and the appointment sits in the Outlook calendar Mia already works from.
What else Fynn handles for salons, such as price questions and voice messages, is on our salon page.
To test it, sign up, connect one stylist's Outlook calendar and add a single appointment type. The Preview shows the times Fynn would offer before any client sees them, and you can connect your WhatsApp number before a client writes.
The trial runs 7 days on the Enterprise plan, without a card, for up to 30 seats including yours, and it includes booking. When it ends, choose a plan or stay on the free Hacker plan.
