Square Appointments and WhatsApp: let clients book, move and cancel appointments in a chat
Clients message at 10 pm to book, move or cancel, and your Square booking site can't answer a WhatsApp. What to set in Square first, and how Fynn books, moves and cancels there under your own rules.

At 10:40 pm a client writes on WhatsApp: "Does Marcus have time for a skin fade Saturday? And can I move my Thursday color to next week?" You read it at 9:05, between a toner and a blow dry.
Here's what to set in Square first, what WhatsApp's 24 hour window changes, and how Fynn, our AI agent, can book and move that client in Square under your rules.
What a booking link doesn't answer
Your Square booking site was open all night. Some clients still skip it and write to the number they already have, in full sentences, at hours when nobody is at the desk.
Book Salon, a booking provider, found that 52% of appointment bookings across its more than 1,000 salons happen between 5 PM and 9 AM. That's vendor data from 2021, reported by Salon Today. Those are the hours when a WhatsApp message sits unread.
For "anything free on Saturday?", your Square booking link is a fine reply. Most of what clients write is harder than that:
- "Can I move Thursday to next week?" The client needs the confirmation text, and Square only lets them move it themselves if you allowed it.
- "Can I still cancel tomorrow's lash fill?" That depends on your cancellation window, which the client hasn't looked at since booking.
- "Does Marcus do fades, or is that Jo?" The booking site shows who does what. The client asked you anyway.
- "Same price as last time?" A question first, then a booking.
Each of these turns into a back and forth you type between clients. And by the time you answer in the morning, the Saturday slot may have gone to someone who booked online at midnight.
Set up Square first, whoever answers the chat
A person at the front desk and an assistant in the chat can only follow the rules Square holds for you.
You find most of them in the Square Dashboard under Appointments, then Settings, then Calendar & booking, as Square's help article on account settings describes. Check these before anyone or anything books for you:
- Every service you want booked from a chat has at least 1 team member who performs it and is bookable online. A service with nobody bookable has no free times to offer.
- Notice. "Appointments must be made in advance" runs from 1 hour to 4 weeks. If nobody should grab the 9 am slot at 11 pm, set a notice that covers the night. How far ahead clients can book is a separate setting, from 7 to 365 days.
- Requests. Under Online booking preferences, Square either accepts every appointment request automatically or makes you accept or decline each one. Reviewing each request gives you control over long color work. It also means every booking waits until you look.
- Changes by clients. Square has a switch called "Clients may reschedule or cancel their own appointments" with a cutoff, described on Square's cancellation policy page (UK site, menu names can differ by country). After the cutoff, the client has to reach you.
- Your cancellation policy, in words a client reads in a chat bubble. Two sentences with the hours and what happens after that is plenty.
No show fees
Square lets you require a card for online bookings and charge a fee for a no show or a late cancellation. On its UK page, that comes with the Plus and Premium plans. The fee matters as soon as anything outside Square books for you.
Square's developer documentation says that the Bookings API cannot create a booking with a cancellation fee above zero. So an app that books through Square can't book a service that carries one.
If every service has a fee, nothing can be booked from a chat. One way out is to keep the fee on long, expensive services, like a full head of color or a new lash set, and drop it on short ones like a beard trim.
Your Square plan
On Square Appointments Free, an app can create, move and cancel only the bookings it made itself. Changing bookings made anywhere else, on your booking site or by your team, needs a paid Appointments plan, according to Square's Bookings API overview.
How Fynn books, moves and cancels in Square
Deskwoot is the help desk behind this blog. It puts WhatsApp, your website chat, email and your other channels into one inbox, and Fynn is its AI agent.
With Square Appointments connected (still marked Beta), Fynn offers the times of your Square online booking. He books, moves or cancels appointments for clients, right in the conversation the client started.
For the client from 10:40 pm, that means up to 3 free times in the chat instead of a reply at 9:05. You start the day with the booking in Square or with a card your team confirms with 1 tap, and nobody typed the back and forth between clients.
Connecting, and what Deskwoot reads
You sign in with the Square account that owns the business. Square then asks you to let Deskwoot see your business, its locations, services and team, your appointments and your clients.
Deskwoot also asks for the right to book, move and cancel appointments and to add new clients. It never asks Square for payments, cards or gift cards, and never keeps your clients' notes, birthdays or addresses.
After that you choose the team members and services Fynn offers. The rest comes from Square: the bookable hours, the notice and how far ahead people can book.
Fynn works with 1 booking system per workspace, so while Square is connected he books only there. Each workspace connects 1 Square account.
The connection works for Square accounts in the US, Canada, the UK and Australia, with Square Appointments set up and online booking switched on.
A booking in the chat
Fynn offers at most 3 times at once, always with the time zone. He names only the prices Square lists, leaves "price varies" for you to confirm and never offers a discount.
To book he needs the client's first and last name. Square also wants a mobile number, and on WhatsApp Deskwoot already has it. Then the client gets one message with everything in it. An example:
Fynn, the AI assistant of Corner Chair Studio: Marcus is free on Saturday at 9:00, 9:45 or 11:15 AM (Chicago time). Which one suits you?
Client: 9:45 please. Dana Brooks
Fynn: Here's what I noted: Skin fade with Marcus on Saturday, November 7, 9:45 AM (Chicago time) for Dana Brooks. Corner Chair Studio's cancellation policy: Please give us 24 hours' notice. You can cancel or move it up to 24 hours before. Is that right? Reply yes and I'll book it.
The message names your business, never Square. On WhatsApp, the line above Fynn's first reply says he is your AI assistant (how customers see that Fynn is an AI).
On your website chat, Fynn also asks for an email address before he books when he has none yet. That way the client still hears back after closing the tab.
Who confirms
For new bookings, cancellations and moves you decide separately: "Your team, with 1 tap" or "Fynn, after the customer's yes" (Appointments with Fynn explains both).
If Square makes you accept each request, choose "Fynn, after the customer's yes" for new bookings. Fynn's question then ends with "Reply yes and I'll pass it on to Corner Chair Studio. They confirm it here."
The booking reaches Square as a request you accept there. With your team confirming in Deskwoot as well, you would confirm every booking twice.
Moves and cancellations
A move keeps the team member, the location and the service. Once the appointment is closer than your Square cutoff, Fynn changes nothing. He tells the client you'll get back to them and hands the chat over.
If Square doesn't let clients change bookings at all, every move and cancellation goes to your team.
Your Square plan decides the rest:
- On Square Appointments Free, Fynn changes only the bookings he made. Your team cancels in Square, the ones Fynn made included.
- On Plus or Premium, Fynn can also change bookings made in Square, such as one the client made on your booking site.
Which client is writing
Square can't search clients by name, so Deskwoot looks them up by an exact email address or phone number.
On his own, Fynn books only for the client your team linked to the contact, or for a client whose email address or WhatsApp number Deskwoot verified. On WhatsApp, the number the client writes from counts as that proof.
- If exactly 1 Square client has that number, the first and last name fit and the client has a phone number, Fynn books under that client. He can also find their upcoming Square bookings to move or cancel.
- If nobody has it and "New clients can book in chat" is on, Deskwoot creates the Square client at the client's yes. Square gets only the first and last name, email address and mobile number.
- Every other booking waits for your team, which picks the client on the card in the conversation.
A text message doesn't prove who sent it, so on SMS every booking waits for your team. Deskwoot never changes an existing Square client and never copies your client list.
What your team sees
Next to the conversation, your team sees the linked client with their next appointments and earlier ones from Square, each with its status. They can also link a client or create one.
On Plus or Premium they can cancel an upcoming one from there. Square sends the client no message about that, so tick "Tell the client in this conversation".
Square tells Deskwoot right away when an appointment Deskwoot booked or took over changes, and Deskwoot also checks every 5 minutes.
What stays with your team
When a client asks for one of these, Fynn hands the conversation to your team:
- Payments, deposits, tips, gift cards, packages and memberships.
- 2 or more services in one booking, like a cut plus a beard trim.
- Moves and cancellations after your Square cutoff, when the appointment is close.
Fynn also never books a service that carries a no show fee in Square, and you confirm the price of anything marked "price varies".
The WhatsApp part: fees and the 24 hour window
What Meta charges
Meta charges for WhatsApp Business Platform messages one by one, by category and by the client's country. Messages clients send you are free.
Since October 1, 2026, each business phone number gets 1,000 delivered service messages a month for free, and Meta charges from the 1,001st, according to Meta's pricing page. Service messages are the normal replies, not templates, that you send while the 24 hour window below is open.
Meta bills those fees to your WhatsApp Business account, and Deskwoot adds no markup. Setup is in the WhatsApp setup guide.
The 24 hour window
For bookings, the window matters more than the fees. You can send a client a normal message (anything that isn't a template) only within 24 hours of their last message.
Say you review Square requests by hand and accept Saturday's on Thursday afternoon. The window from Dana's message on Tuesday night has closed.
Deskwoot then sends nothing, and the card in the conversation says the client wasn't told. Your team can send an approved template instead (WhatsApp templates).
If you accept requests within 24 hours of the client's last message, or let Square accept them automatically, the confirmation goes out as a normal message.
Before you switch it on
- Your Square account is based in the US, Canada, the UK or Australia.
- If you disconnect later, bookings in Square stay as they are, and Deskwoot deletes what it kept from Square.
Health businesses in the US
If you run a massage, physio or other health business in the US, check HIPAA first. It covers health care providers that send health information electronically in connection with certain transactions, such as insurance claims (45 CFR § 160.103).
Deskwoot does not sign Business Associate Agreements, so if HIPAA applies to you, don't connect Square to Deskwoot. This is general information, not legal advice.
Try it on your own Square account
Connecting Square Appointments works on every Deskwoot plan, the free Hacker plan included, and costs nothing extra. Your team then sees each client's appointments next to the chat.
Fynn books, moves and cancels from the Startup plan on, at $4 per agent a month ($3.20 a month billed annually). All prices are on the pricing page. Your Square plan is billed by Square, separately.
Once you have an account, an admin sets it up in 3 steps:
- Go to Settings > Integrations and click the Square Appointments card under Bookings and appointments.
- Connect Square, pick the team members and services Fynn offers and save.
- Turn on "Fynn offers free times" on the same page and click "Save booking rules".
The Square Appointments guide walks through each step. If your stylists keep their days in Outlook rather than Square, the calendar route is covered in salon bookings by WhatsApp. For everything else Deskwoot does for salons, barbers and studios, see the salons page.
To start, create a free Deskwoot account. Every new workspace gets 7 days of the Enterprise plan without a card, for up to 30 seats including yours, and Fynn books in Square during those days. If you don't pick a paid plan, you keep working on the free Hacker plan for 1 agent.
