Data Deletion Instructions
Deskwoot is a customer support platform operated by Neltacore, LLC, which also publishes the Deskwoot app for iPhone and Android. If you have used Deskwoot or one of its connected channels (such as a WhatsApp Business number, an email inbox, a live chat widget, or the Deskwoot app), you can delete your account and the personal data associated with it at any time. You do not need the app for this: the web dashboard and email work too.
1. Delete your Deskwoot account
Your Deskwoot account is your login: your name, email address and password. You can delete it yourself, right away, in either place:
- In the Deskwoot app (iPhone and Android): open More > Settings, tap Delete account, read what is deleted and what stays, and confirm with your password.
- In the web dashboard: log in at deskwoot.com/login, open Settings > Profile, click Delete account at the bottom of the page and confirm with your password.
The deletion happens at once. Your profile, email address, password, profile picture, signature, notification settings, 2FA settings, signed in devices and push notification tokens are deleted, you are signed out everywhere, and you leave your workspace. We send a confirmation to your email address. Replies and notes you wrote stay in your team’s conversations as the workspace’s records and show as “Deleted user”.
Two cases need a step first. If you own a workspace that other people are members of, remove them first (Settings > Agents in the web dashboard), or email us to hand the workspace over to someone else. If you are the last member of your workspace, the workspace is deleted with your account as described in section 2.
2. Delete a whole workspace
The owner of a workspace can delete it with all its data:
- Log in to your Deskwoot workspace at deskwoot.com/login.
- Open Settings > Account Settings.
- Scroll to the bottom of the page and click Delete account.
- Confirm the deletion with the link we send you by email.
Once confirmed, an active subscription ends with the current billing period and the workspace is deleted 30 days after that period ends (30 days after the confirmation without a subscription). Until then the owner can cancel the deletion from the dashboard. After that we permanently delete the workspace’s conversations, contacts, agents, integrations, training data, stored files and all personal data tied to it. Billing records and signed data processing agreement acceptances are kept where tax law or Article 28(3)(e) of the GDPR require it.
3. Disconnect WhatsApp, a Facebook Page or Instagram from Deskwoot
If you connected your WhatsApp Business Account to Deskwoot through Meta’s Embedded Signup, or a Facebook Page or Instagram account through Facebook Login, and only want to revoke that specific permission without deleting your full Deskwoot workspace:
- Open Meta Business Tools and find the Deskwoot connection under Active.
- Click Remove. Meta revokes the access token immediately; Deskwoot stops receiving new messages from that number, Page or account on the next webhook delivery and deletes the Page access tokens it stored.
- In Deskwoot, open Settings > Inboxes, select the inbox, and click Delete inbox if you want to remove the local conversation history as well.
4. Request deletion by email
If you cannot log in or you want us to handle the deletion for you, email hello@deskwoot.com from the address registered on your Deskwoot account. Say whether you want your own account deleted or the whole workspace, include the workspace name and, if you used WhatsApp through Deskwoot, the phone number you connected. We confirm receipt within 5 business days and complete the deletion within 30 days, in line with GDPR Article 17.
5. What we retain after deletion
We retain the minimum data required by law, specifically:
- Invoices and Stripe billing records (7 years, US and EU tax law retention).
- Signed data processing agreement acceptances (GDPR Article 28(3)(e)).
- Audit log entries that reference the deletion event itself, without your name or email address, so we can prove the request was fulfilled.
After your own account is deleted, the replies and notes you wrote stay with the workspace you worked in, shown as “Deleted user”, until that workspace is deleted. After a workspace is deleted we do not retain its conversation content, contact data, training data, or any data we received from Meta on its behalf.
