Plan your templates before the integration goes live so you are not stuck waiting when you need to send your first broadcast.
The 24-hour rule
Within 24 hours of a customer's last message, you can send any message freely. After 24 hours, you must use an approved template. This is WhatsApp's anti-spam protection. Support teams should aim to respond within the window whenever possible, both for customer experience and for cost reasons.
Best practices
- Opt-in first: never message a customer on WhatsApp who has not explicitly asked to be contacted there. Meta will ban you.
- Respect timezones: WhatsApp is more personal than email. A midnight message feels invasive.
- Use rich media sparingly: images and PDFs work, but customers on limited data plans appreciate text-first responses.
- Short replies: WhatsApp is conversational. Two-sentence answers beat six-paragraph explanations.
- Templates for proactive outreach: order confirmations, shipping updates, post-purchase surveys all convert well.
