Search conversations and see where they match

Search the conversation list by contact name, email, subject, message text or conversation number. Open a result and every match in the messages is highlighted.

The search button above the conversation list finds conversations by contact name, email, subject, message text or conversation number. It searches inside the folder and status you have open. Open a result and every place where your term appears in the messages is highlighted in yellow. Click inside the messages to clear the highlight and start working.

Search the list

  1. Click the magnifier above the conversation list (Search conversations).
  2. Type a name, an email address, a word from a message or a number like #93. The list updates while you type.
  3. The list shows the matching conversations of the folder and status you have open. By default that is Open & Pending. To search everything, pick All in the inbox panel and All statuses in the status menu above the list.
  4. Open a conversation. Every match of your term in the messages and notes is marked in yellow. The search stays active, so the next result you open is highlighted too.

To end the search, click the X in the search field (Clear search) or press Escape.

When a conversation doesn't show up

  • Wrong status: the list starts with Open & Pending. Resolved and snoozed conversations only show when you pick their status or All statuses.
  • Wrong folder: Mine, Unassigned or a team folder only search their own conversations. Use All for everything your role lets you see.
  • The AI bot still has it: live chats your AI bot is answering sit in the AI bot folder, not in All.
  • Your plan's history: each plan keeps a limited history in the list (Hacker 30 days, Startup 180 days, Business 365 days, Enterprise everything). Older conversations are hidden, not deleted, and a note under the list tells you so.
  • Your role: if your role only shows your own conversations, the search only finds those.

Frequently asked questions

What does the search look at?

The contact's name and email, the subject, the text of the messages and notes, and the conversation number. For a number you can type it with or without the #.

How do I remove the yellow highlight?

Click anywhere inside the messages. This also clears the search in the list. Selecting text does not remove it, so you can still copy a highlighted passage.

Does the search stay when I switch folders?

Yes. Switching between Mine, Unassigned, All, the AI bot, a team or a teammate keeps your search, status and sort. Opening a saved view is the exception: it shows what the view stored, without your search.

Can I search from any page?

Yes. Press Cmd+K or Ctrl+K, or click Search in the left rail, to open the command bar. It finds contacts and your open and pending conversations. For resolved or snoozed ones, use the list search with All statuses. See Search and jump with the command bar.

How short can a search term be?

The list searches from the first character. Highlighting in the messages starts at 2 characters, so longer terms give you fewer and better matches.

Can I save a search?

Yes, on the Startup plan and higher. Set up the folder, status and search, then click Save view above the list and name the view. It then shows under Views in the inbox panel. See Filters and saved views.
