Forward Gmail to Deskwoot

Forward every email that reaches your Gmail or Google Workspace address to your Deskwoot forwarding address, so each one becomes a conversation.

With an email forwarding inbox, Gmail sends a copy of every incoming email to your Deskwoot forwarding address, and each email becomes a conversation. You need the forwarding address of your Deskwoot inbox (it ends in @mail.deskwoot.com) and access to the Gmail settings of the mailbox. Email forwarding works on every plan, including Hacker.

Create a forwarding inbox

Skip this part if you already have one.

  1. In Deskwoot, go to Settings > Inboxes. Under Add a channel, click Email (IMAP/SMTP).
  2. Give the inbox a name and choose Email Forwarding under Connection Mode.
  3. Under Choose your forwarding address, type the part before @mail.deskwoot.com, or leave it empty and Deskwoot creates one.
  4. Click Create Inbox. The next page shows Your forwarding address with a Copy button.

Copy your forwarding address

  1. Go to Settings > Inboxes and click Configure next to your email inbox.
  2. Open the Configuration tab. Under Forward to Email, click Copy.

Set up forwarding in Gmail

Gmail's menu names can change a little over time; these steps describe Gmail on a computer.

  1. In Gmail, click the gear icon and then See all settings.
  2. Open the Forwarding and POP/IMAP tab and click Add a forwarding address.
  3. Paste your Deskwoot forwarding address and confirm.
  4. Gmail sends a confirmation email to that address. It arrives in Deskwoot as a new conversation in this inbox. Open it and click the confirmation link, or copy the code into Gmail.
  5. Back in Gmail, choose Forward a copy of incoming mail to, pick your Deskwoot address, decide what Gmail does with its own copy and click Save Changes.
  6. Send a test email from another address to your Gmail address and check that it shows up in Deskwoot.

What your customers see

Your replies go out from your Deskwoot forwarding address, with your workspace name as the sender name. When the customer answers, the answer comes straight back to the same conversation in Deskwoot. For more about email inboxes, see Connecting your email inbox.

Frequently asked questions

Which plan do I need?

Email forwarding works on every plan, including Hacker. On the Hacker plan, a forwarding inbox does not count toward the one inbox the plan includes.

Does Gmail keep its own copy?

That is up to you. In the forwarding settings you choose whether Gmail keeps, marks as read, archives or deletes its copy.

Can I forward only some emails?

Yes. Create a filter in Gmail and choose the forward action with your Deskwoot address. The address has to be confirmed first, as described above.

The forwarding option is missing or greyed out. Why?

In a Google Workspace account, your administrator may have turned off automatic forwarding. Ask them to allow it for your mailbox.

The confirmation email does not show up in Deskwoot. What now?

Check that you pasted the address exactly. If you use the spam filter, open Settings > Spam Filter and look in the Spam Folder tab. An email listed there never became a conversation, so remove the blocked word or sender shown next to it under the Settings tab and let Gmail send the confirmation again.

Who becomes the contact of a forwarded email?

With Gmail's automatic forwarding, the original sender stays the sender, so the customer becomes the contact. If someone forwards emails by hand with the Forward button, add that mailbox under Trusted forwarding sources in the Configuration tab. Deskwoot then takes the original sender from the forwarded email, as long as the email passes SPF or DKIM for that mailbox. The address of an active teammate counts as trusted without adding it.

Can replies come from my own address instead?

Yes, with an IMAP / SMTP inbox, which needs the Startup plan or higher. Deskwoot then connects to your mailbox directly and no forwarding is needed.
