Forward Outlook or Microsoft 365 to Deskwoot

Send every email from Outlook.com or a Microsoft 365 mailbox to your Deskwoot forwarding address with a redirect rule or forwarding.

Outlook can pass every incoming email to your Deskwoot forwarding address, and each email becomes a conversation. A redirect rule works best: the customer stays the sender and threads stay intact. In Microsoft 365 work accounts, automatic forwarding to outside addresses is often blocked until an administrator allows it. Email forwarding works on every plan, including Hacker.

Copy your forwarding address

  1. In Deskwoot, go to Settings > Inboxes and click Configure next to your email inbox.
  2. Open the Configuration tab. Under Forward to Email, click Copy.

No forwarding inbox yet? Under Add a channel on the same page, click Email (IMAP/SMTP), choose Email Forwarding under Connection Mode and click Create Inbox. The next page shows Your forwarding address.

Outlook's menu names can change a little over time; these steps describe Outlook on the web.

  1. Open the Outlook settings, go to Mail and then Rules, and add a new rule.
  2. As the condition, apply the rule to all messages.
  3. As the action, choose Redirect to and paste your Deskwoot forwarding address.
  4. Save the rule and send a test email from another address.

Option 2: forwarding

  1. In the Outlook settings, go to Mail and then Forwarding.
  2. Turn on forwarding, paste your Deskwoot address and decide whether Outlook keeps a copy.
  3. Save and send a test email.

If you use a forward rule

A rule with Forward to instead of Redirect to works too. The email then arrives as a forward from your mailbox, so Deskwoot has to unwrap it:

  1. In the Configuration tab of your Deskwoot inbox, find Trusted forwarding sources.
  2. Type the address of the mailbox that forwards and click Add address.
  3. Click Save forwarding sources.

Deskwoot then unwraps these forwards: the original sender becomes the contact and your replies go to the customer. Only emails that pass SPF or DKIM for your mailbox are unwrapped. How unwrapping works in detail is in Forward email from any other provider.

Frequently asked questions

Forwarding does not work in my Microsoft 365 account. Why?

Many Microsoft 365 organizations block automatic forwarding to outside addresses. Ask your Microsoft 365 administrator to allow it for your mailbox.

Redirect or forward: what is the difference?

A redirect passes the email on as it is, so the customer stays the sender. A forward wraps the email and sends it from your mailbox. Deskwoot handles both, but a forward needs your mailbox in Trusted forwarding sources.

Does Outlook keep its own copy?

With forwarding you choose it. With a rule, the email also stays in your mailbox unless you add an action that moves or deletes it.

Which plan do I need?

Email forwarding works on every plan, including Hacker. On the Hacker plan, a forwarding inbox does not count toward the one inbox the plan includes.

Which address do my replies come from?

From your Deskwoot forwarding address, with your workspace name as the sender name. When the customer answers, the answer lands in the same conversation.

Can replies come from my own address instead?

Yes, with an IMAP / SMTP inbox, which needs the Startup plan or higher. Deskwoot then connects to your mailbox directly. See Connecting your email inbox.

My test email does not show up. What should I check?

Check the address in your rule or forwarding setting. If you use the spam filter, open Settings > Spam Filter and look in the Spam Folder tab. An email listed there never became a conversation, so remove the blocked word or sender shown next to it under the Settings tab and send the test again.
