Set up Deskwoot
After you sign up, a guided setup prepares Fynn and your channels for your kind of business, one step at a time.
Updated October 19, 2026Also available in: Deutsch, Português
Right after you sign up, Deskwoot opens a guided setup in full screen. It fits your kind of business: an online store gets a store step, a restaurant gets questions about reservations. On the left you always see one task. On the right, a stage shows what happens, with a label that says whether it is Live (the real state of your workspace), a Preview of what you typed or a Sample.
The setup opens for the person who created the workspace and is for administrators. Teammates you invite go straight to the inbox.
Your business
- Pick what kind of business you run: Online store, Practice, Trades, Restaurant & café, Salon & beauty, Real estate or Something else.
- Enter your website. If you signed up with a company email address, it is already filled in. No website? Tick I don't have a website.
- Pick how customers reach you today, for example email, WhatsApp or the chat on your website. Fynn answers written messages, not phone calls.
Fynn gets to know your business
Learn. Fynn reads the public pages of your website. His first quick read takes up to 25 pages, the ones customers ask about first, such as contact, shipping, returns and opening hours, and then he reads the rest of the site in the background. Under What Fynn read you see which kinds of page he found. Then he writes a short summary of your business. Change what is not right and choose how he sounds: Friendly, Formal or Casual. For German, also choose du or Sie. Without a website, you write a few sentences about your business instead.
Review. Fynn drafts answers to the questions customers of your industry ask most, from your website and with the page he used. Keep, Edit or Skip each one. Questions your website does not answer show under Missing on your website: add the ones that matter. Fynn uses the saved answers right away.
Try out. Chat with Fynn in your real website chat, the way a customer would. A suggestion puts a question into the chat, and you send it yourself. A new chat has no email step before it: Fynn answers first, and under his first answer he asks once for an email address. The name is optional. Fynn's last answer shows beside the chat. Click That's right, or Correct it and write the right answer: Fynn learns it at once, and Ask again lets you check it in a new chat. The test chat lands in your inbox and counts as 1 AI conversation.
Your channels
The order depends on your industry, and you only get the steps that fit.
- Email. Choose Forwarding (recommended) or Connect directly (IMAP/SMTP). With forwarding, Deskwoot gives you an address that ends in @mail.deskwoot.com, and you forward your mailbox to it, with short guides for Gmail, Outlook and other providers. Gmail's confirmation code shows right in the setup. With a direct connection, replies go out from your own address; after the trial it needs the Startup plan or higher. Then send a test email from another address. Fynn answers emails stays off until you switch it on.
- Store, for online stores. Connect Shopify with a guide that shows every step with a screenshot and the values to copy, or WooCommerce with its API keys. Then choose what Fynn may do with orders: look up the order status and share tracking links. Refunds and cancellations stay off.
- WhatsApp, if you picked it. Meta guides you through the sign in in a window of its own.
- Telegram, if you picked it. Create a bot with BotFather and paste its token.
- Chat on your website. Copy the chat code and add it to your site, with guides for HTML, WordPress, Shopify and other website builders. If someone else looks after your website, use Write an email with the code under Someone else looks after it: it opens an email with the code that you send them yourself. The step is done once the chat shows up on your real website. Without a website, you get a chat link to share instead.
SMS, LINE and X need access data from the provider. If you picked them on the first screen, you find them under Also connect on the last screen. Either way you set them up under Settings > Inboxes.
Your team
Invite the people who answer customers with you, as Agent or Admin. During the 7 day trial you have 5 seats, yours included. This step is optional. See Inviting agents to your team.
Skip, pause and come back
You can skip any step with Skip this step. A step counts as done only when Deskwoot really sees it, for example when your first email arrived or the chat loaded on your website. Continue later takes you to your inbox. Until you finish the setup or leave it with Continue later, signing in brings you back to it, and Continue setup in the sidebar shows how many steps are done and opens the setup again.
Fynn is included in your 7 day trial. After it, Fynn answers only on a paid plan, Startup or higher. Your chat and your inbox keep working, and your team answers.
Frequently asked questions
Can I skip the setup?
Yes. Skip any step with Skip this step, or click Continue later. Open steps stay under Continue setup, so you can finish them any time.
I created my workspace earlier. Do I get the setup?
Workspaces created before the guided setup start in the inbox as before, without the setup in full screen. Everything the setup does is also in Settings.
Do I need a website?
No. Without one you tell Fynn about your business in a few sentences, write his answers yourself and share a chat link instead of adding the chat to a website.
What does Fynn read on my website?
Only public pages, and nothing your robots.txt excludes. If your site builder loads its text later, Fynn may find little: you then fill the gaps in the Review step. You can change the website later in the Training Hub.
Where do my answers end up?
In the Training Hub: a Website Crawl named after your website and an FAQ List called Setup answers, with up to 20 answers you kept or corrected.
Does the test chat cost anything?
It counts as 1 AI conversation. The trial includes 300. You find the test chat in your inbox, in the Fynn folder.
Does Fynn answer my emails right away?
No. Fynn answers emails is off until you switch it on. Then Fynn answers every email in that inbox except newsletters and automatic senders, and each of his emails ends with a sentence saying that an AI assistant wrote it and that a reply with the word human brings in your team.
Do my customers have to leave their email before they chat?
Not in a new chat: they write right away. Fynn answers first and then asks once in the chat for an email address, so your team can still reply by email if they leave. If you want the address before the chat, turn on Ask for email before the chat in the inbox settings, see Adding a website live chat widget. A chat you had before the setup keeps the setting you gave it.
Which language does Fynn answer in?
In the language the customer writes in. In German he follows the customer's du or Sie, otherwise the form you chose in the setup. See Setting up the Deskwoot AI bot (Fynn).
What happens after the trial?
Fynn needs a paid plan, Startup or higher, and the seats of your plan apply. Your channels, your chat and your inbox keep working.
